Rental companies act as data controllers. They decide which data to collect and how to use it.

Kvadrat Systems LLC acts as a data processor. We process data solely on behalf of rental companies, do not use it for our own purposes, and ensure its protection.

2. Collected Data

Rental companies may enter the following data about delivery personnel into the Service:

• Full name
• Phone number
• Postal address
• Work-related information (assigned tasks, routes, delivery reports)

Delivery personnel do not create accounts themselves — rental companies create them.

3. Purpose of Data Processing

Data is processed for the following purposes:

• Employee identification and account creation
• Task and route planning
• Monitoring delivery completion
• Ensuring safety
• Operational analytics for rental companies

4. Data Storage and Deletion

Data is stored on servers located in Dubai (UAE).

Storage period is no longer than three (3) years unless otherwise required by law.

After this period, data will be deleted or anonymized within 30 days.

5. Data Sharing

Data is accessible only to the rental company that created the account.

It is not shared with other rental companies or sold to third parties.

Data may only be disclosed in cases required by law.

When third-party services outside the UAE are used, appropriate safeguards are applied (e.g., standard contractual clauses or equivalent measures).

6. Legal Basis for Processing

Data is processed on the following bases:

• Performance of obligations of the rental company toward delivery personnel (e.g., work organization, delivery monitoring)
• Legitimate interests of the rental company related to workflow management
• Consent of delivery personnel when required by law (e.g., for analytics or additional services)

7. Your Rights

Under applicable laws (including UAE PDPL, GDPR, LGPD, PDPA), you have the right to:

• Access your personal data
• Request correction of inaccurate or incomplete data
• Request deletion of data (“right to be forgotten”)
• Restrict or object to processing
• Withdraw consent, if given

How to exercise your rights:

• Contact your rental company (data controller) first.
• We, Kvadrat Systems LLC, can assist in forwarding your request to the controller.
• Responses are provided within a reasonable period, usually 30 days.

8. Regional Compliance

We comply with local laws in different countries:

• UAE — Federal Law No. 45 of 2021 (PDPL)
• Saudi Arabia — Personal Data Protection Law (PDPL)
• Brazil — LGPD
• Thailand — PDPA

9. Data Security

We apply technical and organizational measures to protect data, including:
